The successful candidate will join our busy and friendly hospital of 28 nurses and 16 vets across our main hospital and two branch practices.

Our practice has excellent facilities such as CT scanner, digital radiography, orthopaedic equipment, hydrotherapy and grooming. We are lucky enough to see a wide variety of cases with many of our vets and nurses studying for various certificates.

We are looking for an RVN with the desire to take on clinical coaching of trainee nurses, or a final year student wanting to progress into a larger and busier environment. We can offer a great team and friendly environment, the opportunity to gain more experience with excellent equipment, as well as the opportunity to develop and progress.

Veterinary office administrator

 Entry position admin role available for an enthusiastic, motivated, trustworthy, hard-working, professional & organised individual to work alongside 5 other colleagues in The Meopham Veterinary Hospital administration department.

Responsibilities:

Provide administrative support to the office team
Answer hospital phone calls & deal with enquiries accordingly
Handle outgoing mail, assist with basic clerical tasks such as photocopying, scanning and filing documents

Maintenance of office, ordering supplies, dealing with Pet health club enquiries, reception duties at the hospital will be required

Skills:

 Previous customer service & admin experience desirable
Strong computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint)
Excellent organisational skills
Strong phone etiquette and communication skills to handle incoming calls professionally
Attention to detail for accurate data entry and administrative tasks
Ability to multitask and prioritise tasks effectively in a fast-paced environment
Basic clerical skills for photocopying, scanning, and filing documents

Note: Full training will be provided to enhance skills and knowledge in office administration, you will be fully supported within your role.

                               Candidate must have full UK manual driving licence as use of the company vehicle is required

HR manager, referrals co-ordinator and veterinary administrator

Employment Type: Full-time, in person. 40hours per week, 9am-5.30pm Monday – Friday only.  No weekends or bank holidays.

Salary: £28’000-£32’000 dependent on experience & qualifications

Job Summary:

Here at The Meopham Veterinary Hospital, Swanscombe, Sevenoaks & Tonbridge surgeries we are looking for an enthusiastic, proactive, trustworthy and organised individual for this combined role.  The HR manager, referrals co-ordinator and veterinary administrator will manage and administer the human resources function of our practice.  The role will involve developing and growing our outpatient referral service alongside our practice manager.  You will support the administrative and operational functions of the practice alongside administrative colleagues under the Practice Manager.

Key Responsibilities:

Human Resources Management: Support the Practice Manager & Head Nurse with recruiting new team members. Seek references and train new employees to maintain a well-supported and skilled team. Manage employee records, performance reviews, and ensure compliance with employment law and veterinary industry standards. Develop and implement staff development and training initiatives to enhance team performance and skills. Support the Practice Manager & Head Nurse with employee relations, addressing concerns and promoting a positive and collaborative workplace environment. Ensure all of our vacancies adverts are kept updated, including Vet School adverts & Linkedin. 

Referrals co-ordinator: Provide operational and administrative support in managing outpatient referral patients, from scheduling to coordinating patient appointments to reporting back to referring practices in a timely manner. Be a key point of contact between referring practices, owners & our internal team. Visit referring practices to discuss our services & organise appropriate CPD evenings for neighbouring practices. Maintain logs of all incoming referrals and track & report referral metrics and growth. Send feedback forms & collate information to improve processes Play a key role in promoting the growth of the practice’s referral services, working with neighbouring practices to enhance service offerings and client satisfaction alongside social media adverts & promotional materials. Working to grow key metrics; Number of practices referring per annum Number of cases referred per annum and resulting turnover Growing range of cases and procedures referred

Veterinary administration: Support the Practice Manager with the day-to-day operations of the clinic– an example of this may be with the implementation of new policies & protocols to ensure we have smooth workflows across all departments or organising shifts due to sickness or unexpected absence, Assist with content for client Newsletters & social media & ensuring our website is kept up to date. Look at potential new properties to assist in branch practice growth  and work with the admin team as a whole when the Practice Manager is on holiday or unavailable, overseeing staff, patient care and client service. Play a role in ensuring the practice operates in compliance with veterinary regulations, practice policies & SOPS by maintaining high standards of animal care and client service, assist with day-to-day staff & client queries, this varies greatly from faulty equipment to a dispute of ownership or a client complaint. Assist with the management of H&S in practice – assisting the practice manager in keeping records up to date.

Skills and Qualifications: Experience: Minimum 2-3 years in a veterinary practice or similar setting, ideally with experience in staff management or HR. Education: RVN qualification preferable, Human Resources or a related field desired.HR Knowledge: Strong understanding of HR policies, employment law, and employee relations management beneficial, although full training can be provided after a period of introduction. Referral Management: Clinical veterinary experience desired. Communication: Excellent communication and interpersonal skills, with the ability to maintain positive relationships with staff, clients, and referral partners. Organisation: Strong multitasking skills with the ability to prioritise tasks and manage time efficiently. Must be a self-driven, reliable, motivated & professional team member. Leadership: Proven ability to lead and manage teams effectively, particularly in the absence of senior management. Tech Savvy: Familiarity with practice management software and word/excel/PowerPoint systems is preferred (training can be provided).
